IT support for real estate agencies

Trust accounting has rules, listing portals have deadlines, and most of your team works from a phone in a car. We keep the trust software and its backups sound, the CRM connected to the portals, and the fleet of laptops and phones consistent and secure.

What breaks most

  • Trust accounting software unavailable near end of month
  • Listings failing to push to portals because an integration quietly broke
  • Agents unable to reach the CRM from an open home
  • Laptops and phones each configured differently, none of them managed
  • Photos and marketing files scattered across personal drives

What we do about it

  • Trust accounting software support, with backups and retention appropriate to it
  • CRM and portal integrations monitored so a break is noticed before a vendor notices
  • Managed laptop and phone fleet, including remote wipe for a lost device
  • Reliable remote access from open homes and inspections
  • Shared marketing and photo storage that isn't someone's personal account

Software we see and support: PropertyMe, Console, Rex, VaultRE, Agentbox and the REA and Domain portal integrations.

The part most providers skip

Trust accounting deserves its own treatment. It carries legal obligations and audit exposure that ordinary business data does not, so we back it up separately, retain it longer, and test the restore.

What working with us looks like

Every engagement starts the same way — an audit, then the fixes that carry the most risk, then a rhythm you stop having to think about.

Week one — audit, with trust first

The trust accounting environment and its backup, the CRM and every portal integration hanging off it, and the state of the laptop and phone fleet. Trust data is assessed separately from everything else because its obligations are different.

Weeks two to four — separate the trust backup

Trust accounting gets its own backup job, its own retention period and its own tested restore, documented for an auditor. General business files keep their own schedule.

Then the fleet

Laptops and phones brought onto one managed standard with secure sign-in and remote wipe, so an agent working from a car has the same setup as the desk and a lost device is a phone call, not an incident.

Ongoing — integration monitoring

Portal and CRM integrations are monitored so a silent break is caught by us, not by a vendor asking why their listing never appeared.

A job like yours

A Southport agency lost half a day at end of month when trust accounting would not open and the backup turned out to be running only against the general file share. The trust database was never in scope. It was recoverable from the software vendor's own copy, but the agency spent an afternoon proving that to itself. Trust now has a separate nightly job, a longer retention window and a restore we test every quarter.

Questions from real estate

Do you support trust accounting software?

Yes, including the backup and retention side that auditors care about. We treat trust data as a separate class from general business files, with its own retention period and its own tested restore, rather than assuming the general backup covers it.

Can agents work reliably away from the office?

Yes. Agents need cloud access, secure sign-in and a device set up to work from a car. We standardise the fleet so a phone or laptop can be replaced in an afternoon rather than rebuilt from memory.

What happens if an agent loses a laptop?

With managed devices we remotely wipe the business data, confirm nothing was accessible without authentication, and have a replacement configured the same day. Without management in place, none of those three things is possible.

A listing did not push to the portals. Who fixes that?

We do the diagnosis, then take it to whichever side owns the fault. Most portal failures are an expired credential, a changed field requirement or an integration that quietly stopped authenticating — all visible from your end. We monitor the integrations so the break is noticed the same day rather than when a vendor calls.

Where should marketing photos and videos live?

Not on an agent's phone and not on a personal drive. Property media is a business asset that outlives the staff member who shot it, so it belongs in managed shared storage with a folder structure per listing, backed up and reachable from a car. We set that up and migrate what is currently scattered.

The services this usually involves

Microsoft 365

Email, Teams, SharePoint and OneDrive set up properly, licensed correctly, and secured against the obvious attacks.

Cybersecurity

The practical controls that stop small businesses being robbed: MFA, patching, managed antivirus and staff who know the signs.

Data backup and recovery

Backups that are monitored, tested and off-site — plus recovery when someone else's backup turns out to be empty.
